Users may encounter printing issues such as:

  • Printer not responding

  • Documents stuck in the queue

  • Print spooler service errors

  • “Printer Offline” messages

  • Inability to add or detect a printer

✅ Step-by-Step Troubleshooting

1. Check Basic Connectivity

  • Make sure the printer is powered on and has paper/ink/toner.

  • Ensure all cables are securely connected (USB or Ethernet).

  • For wireless printers, verify it is connected to the correct Wi-Fi network.

2. Set as Default Printer

  1. Press Windows + I to open Settings

  2. Go to Bluetooth & devices > Printers & scanners

  3. Click on your printer, then click Set as default

3. Restart the Print Spooler Service

  1. Press Windows + R, type services.msc, and press Enter

  2. Scroll to Print Spooler, right-click it, and select Restart

  3. If needed, stop the service and delete stuck print jobs from:

C:\Windows\System32\spool\PRINTERS

4. Run the Built-In Troubleshooter

  1. Go to Settings > System > Troubleshoot > Other troubleshooters

  2. Click Run next to Printer

5. Update or Reinstall Printer Drivers

  1. Go to Device Manager (devmgmt.msc)

  2. Expand Printers, right-click your device, and choose Update driver

  3. Or visit the manufacturer’s website and install the latest driver

  4. Alternatively, remove and re-add the printer in

    Settings > Bluetooth & devices > Printers & scanners

6. Check for Windows Updates

  • Go to Settings > Windows Update

  • Click Check for updates and install any pending updates

7. Clear the Print Queue

  • Open Control Panel > Devices and Printers

  • Right-click your printer → See what’s printing

  • Cancel all documents

🛠️ Additional Tips

  • If using a shared network printer, ensure file and printer sharing is enabled on both systems.

  • Disable any firewall or antivirus temporarily to test if they’re blocking print jobs.

  • For USB printers, try using a different USB port.
